Job Summary :- The Head – AI, Data & Business Intelligence / EUDR Data Coordinator leads the Kerchanshe Group's data, AI, analytics, and Power BI function and owns the group-wide EUDR and traceability data process from farm to export. This includes the end-to-end ECTA ECTMS workflow (producer, farm, crop, batch, own-farm approval, Primary/washing station processing, self-dispatch, warehouse, audit/DDS, and contract export). The role sets data strategy and governance, leads the data team, represents the group with ECTA and the Ethiopian coffee associations on traceability and EUDR matters, and ensures accurate, auditable data supports management decisions, buyer assurance, and regulatory due diligence.
Main Duties and Responsibilities
Data, AI & BI Strategy and Leadership
● Define and execute the group data, AI, analytics, and business intelligence strategy and roadmap aligned with business goals.
● Lead, mentor, and set targets for the data team, including the Data Administrator/Analyst and BI/AI specialists.
● Prioritize and govern AI and analytics use cases across agriculture, washing stations, coffee processing, manufacturing, finance, supply chain, sales, and export. ● Partner with the AI Specialist, ERP, and Development teams to deliver integrated, data-driven solutions.
EUDR & ECTMS End-to-End Process Ownership
● Own the group process and data standards for the ECTMS own-farm workflow: producer registration, farm registration (GPS/land certificate), crop, own-farm transfer, empty batch creation, own-farm crop approval, transfer to Primary, Primary return, and request for self-dispatch.
● Ensure the correct sequence is followed (create the empty batch before approving own-farm crops; after Primary return, self-dispatch rather than re-transfer).
● Oversee traceability through washing station/Primary processing, screening, QC, warehouse stock, audit, DDS, and contract export with mass balance.
● Ensure deforestation risk assessment is completed for all registered plots and that Batch Traceability and EUDR Audit Reports and Due Diligence Statements are ready for every EU-bound shipment.
● Prepare the group for buyer audits, certification audits, and regulatory inspections with complete, auditable records.
Collaboration with ECTA, Coffee Associations & External Partners
● Represent the group with the Ethiopian Coffee & Tea Authority (ECTA) and the ECTMS system provider on portal use, rule changes, access, and training.
● Collaborate with the Ethiopian coffee association(s), other exporters, and industry bodies on EUDR readiness, traceability standards, and shared compliance approaches.
● Engage with international buyers, certification bodies, and regulators on traceability and data requirements.
● Coordinate internally with sourcing, agronomy, washing station, quality, logistics, export, finance, and legal/compliance teams.
AI, Data Analysis, Analytics & Power BI
● Lead the design of enterprise Power BI dashboards and reports covering traceability and EUDR status, purchasing, processing yield, inventory, dispatch, sales, export, and financial performance.
● Establish a single source of truth by integrating ECTMS data with ERP (D365FO), weighbridge, washing station, IoT, GIS, and agriculture data.
● Direct advanced analytics and AI, including yield and loss analysis, forecasting, anomaly/duplicate detection, deforestation and compliance risk scoring, and automated validation and reporting.
● Ensure timely, accurate, and consistent management reporting across all companies and sites.
Data Governance, Quality & Security
● Establish data governance, ownership, master data policies, and data quality rules across the group.
● Ensure accuracy, completeness, retention, and auditability, with clear change history for traceability records.
● Protect farmer and plot-level personal and location data through privacy, security, and access controls.
● Supervise the Data Administrator/Analyst and approve reconciliations, reports, and submissions.
Innovation, Training & Reporting
● Evaluate and introduce traceability, geospatial, mobile data-capture, and AI tools, and manage vendors and partners.
● Lead training and data-literacy programs for staff, washing station and field teams, and cooperatives.
● Report regularly to the CTO and executive management on data initiatives, EUDR readiness, risks, and progress.
Job Summary :-The Data Administrator / Analyst manages, quality-assures, and analyzes all EUDR and traceability data for the entire Kerchanshe Group from farm to export. The role operates the data side of the ECTA ECTMS workflow (producers, farms, crops, batches, Primary/washing station processing, self-dispatch, warehouse, audit/DDS, and export), reconciles it with internal systems, and ensures every lot is traceable and audit ready. It also provides data analysis, analytics, AI-supported validation, and Power BI reporting that turn traceability data into monitoring and management insight.
Main Duties and Responsibilities
Producer, Farm & Plot Data Management
● Create and maintain producer records (identity, location, TIN), including bulk uploads, avoiding duplicate emails/IDs and missing zone/woreda data.
● Register and maintain farms and crops with GPS points/polygons, land certificate details, and harvest weights; validate coordinates and check for overlaps and errors. ● Run or track deforestation risk assessment once farm geometry is ready, and keep supporting evidence per plot.
● Support field teams in mobile data collection and plot mapping, and review submitted data for quality.
ECTMS Batch & Traceability Operations
● Process own-farm crop transfers and approvals in the correct order: create the empty batch first, approve crops into it, and handle denied or incorrect transfers.
● Transfer approved batches to Primary only, and confirm Primary return (washed/natural processing method, actual processed weight, From Primary status). ● Prepare and follow up self-dispatch requests with required documents (warehouse contract, service request letter) and clear corrections, screening, and QC steps.
● Track lots through washing station, warehouse, audit, DDS, and contract export, maintaining mass balance and resolving gaps or mixing issues.
● Reconcile ECTMS records with ERP (D365FO), weighbridge, washing station, and warehouse data.
EUDR Documentation & Collaboration
● Request and compile Batch Traceability and EUDR Audit Reports and data for Due Diligence Statements for export shipments, with the Head/Coordinator.
● Maintain audit-ready records and document archives for buyers, certifiers, ECTA, and authorities.
● Coordinate with ECTA, the ECTMS provider, and coffee association contacts on data queries and portal issues, as directed by the Head/Coordinator.
● Support washing station, sourcing, and export teams on data entry and traceability procedures; prepare guides and training materials.
Data Analysis, AI & Power BI
● Build and maintain Power BI dashboards and reports on registration and geolocation completeness, crop-to batch flow, processing yield, dispatch pipeline, stock, DDS readiness, and export mass balance.
● Analyze data for yield and loss, regional/supplier comparisons, cycle times, variances, and trends; provide insights and recommendations.
● Use AI/automation tools and scripts to flag duplicates, anomalies, weight/location outliers, and incomplete records, and to automate validation and reports.
● Support geospatial analysis (QGIS or similar) for plot validation and risk review.
Data Quality, Security & System Support
● Perform regular data audits, cleansing, de-duplication, and reconciliation across systems and sites.
● Apply data governance standards, access controls, and backup procedures, protecting farmer and location data.
● Support integration, testing, and improvement of traceability and data systems with the IT, ERP, and AI/Development teams.
