Position: IT Support Officer

Duty base: Project site, Addis Ababa (Mekenisa, Kore Square area right after Consolata Catholic in the way from Mekenisa to Kore)

Employment type: Full time after satisfactory probationary excellent performance

Statement of Purpose:

The Hospital IT Support is responsible for supporting, troubleshooting, and maintaining the hospital's IT infrastructure, including hardware, software, and network systems. This role ensures that all IT systems operate efficiently and securely to support clinical, administrative, and operational functions. The IT Specialist provides technical support to staff, implements IT solutions, and ensures compliance with healthcare IT standards and regulations to enhance patient care and hospital operations.

Major Tasks, Duties & Responsibilities

IT System Support and Maintenance
- Provide technical support for hospital IT hardware and software systems, including workstations, and medical devices.
- Troubleshoot and resolve IT-related issues in a timely manner.
- Perform regular updates, patches, and system upgrades to ensure IT systems are secure and up to date.
Network Support
- Assist with maintaining and troubleshooting the hospital’s network infrastructure, including wired and wireless systems, to ensure reliable connectivity across departments.
- Help with network optimization and performance monitoring.
System Security and Data Protection
- Implement security protocols to protect patient data and hospital information systems from cyber threats.
- Assist with monitoring and maintaining firewalls, antivirus software, and intrusion detection systems (IDS/IPS).
- Ensure compliance with healthcare data security and privacy regulations.
End-User Support and Training
- Provide helpdesk support for staff, resolving issues related to software, hardware, and IT systems.
- Assist in training staff on the effective use of IT systems and software.
Software and Application Support
- Assist in the installation, configuration, and maintenance of healthcare software applications and other hospital management tools.
Hardware Installation and Maintenance
- Help with installing and configuring IT hardware including desktops, laptops, and peripherals.
- Perform preventive maintenance and assist with troubleshooting hardware issues to reduce downtime.
System Monitoring and Reporting
- Monitor the performance of IT systems and networks, identifying potential issues before they impact operations.
- Generate reports on system performance, security, and usage to inform management decisions.
Compliance and Documentation
- Maintain records of IT system configurations, updates, and support tickets.
- Assist with audits to ensure compliance with healthcare IT regulations and standards.
Collaboration with IT Teams and Vendors
- Work closely with other IT professionals to ensure integrated IT operations.
- Collaborate with external vendors for IT equipment procurement, software support, and troubleshooting.

Job Purpose

The ERP Pre-Sales Engineer is responsible for understanding customer business requirements, demonstrating ERP software solutions, and supporting the sales team in presenting suitable technology solutions. The position combines accounting knowledge, information technology skills, and customer communication abilities to help clients improve their financial and business operations through ERP systems.

Key Responsibilities

ERP and Accounting Solutions

Understand accounting and finance processes, including general ledger, accounts payable, accounts receivable, budgeting, invoicing, and financial reporting.
Explain how ERP systems support accounting, inventory, procurement, sales, and other business operations.
Demonstrate ERP accounting modules to prospective clients.
Help customers identify software solutions that meet their business requirements.

Technical and Pre-Sales Support

Conduct product demonstrations and presentations for prospective customers.
Gather, analyze, and document customer business and technical requirements.
Prepare proposals, quotations, presentations, and technical documentation in coordination with the sales team.
Explain ERP features, benefits, implementation processes, and system integrations.
Coordinate with software developers, implementation teams, and other technical staff to address customer requirements.

Sales and Customer Relationship Management

Support the sales team in identifying and qualifying potential customers.
Participate in client meetings, presentations, and product demonstrations.
Respond to customer inquiries and provide accurate technical and functional information.
Follow up with prospective customers and maintain accurate records in the CRM or company ERP system.
Support the preparation of responses to requests for proposals (RFPs) and requests for quotations (RFQs).

Business Analysis and Reporting

Analyze customers’ existing business processes and identify opportunities for improvement through ERP solutions.
Prepare requirements documents, process-flow descriptions, and solution recommendations.
Collect customer feedback and communicate product improvement opportunities to the relevant teams.
Prepare regular reports on client meetings, demonstrations, sales pipeline activities, and pre-sales progress.

Required Skills and Competencies

Good understanding of accounting principles and financial processes.
Knowledge of ERP systems, accounting software, or business management applications.
Basic understanding of databases, software applications, and system integration.
Strong presentation, communication, and negotiation skills.
Ability to understand customer needs and explain technical concepts in simple language.
Good analytical, problem-solving, and report-writing skills.
Proficiency in Microsoft Excel, Word, and PowerPoint.
Ability to collaborate effectively with sales, finance, IT, and software implementation teams.
Willingness to travel for client visits when required.
